Office Policies and Procedures

At the Biological Psychiatry Institute, we have our patient's best interest at heart.  Therefore, we have implemented the following policies and procedures to ensure that our patients and their families are given the best care possible.


No information from any patient's record will be released to anyone, including insurance companies, relatives, or attorneys, without the patient's written consent. This also includes any information over the phone.



If you need to cancel an appointment, you must do so at least 24 hours prior to your appointment time, or you will be charged the regular fee for your scheduled time. Payment of this charge will be due before your next appointment. You are responsible for remembering your appointment. If you have forgotten when your next appointment is, please phone the office so we may look it up for you. Reminder calls are given only when requested as a courtesy to you.

If you are late for an appointment, the doctor will see you for the remainder of your allotted time, provided there are at least 15 minutes left. You will be charged the full fee for the time scheduled for you. However, if you are more than 15 minutes late for an appointment, it will be considered a "no show"; you will have to reschedule your appointment as the doctor will not have enough time to evaluate you properly. You will be charged for this missed appointment at the appointment rate.


Payment is required for all office services at the time service is rendered. Payment may be made by cash, Visa/MasterCard, or Discover.


Initial (1st time) Visit: $400

Follow-up Visits: $200/half hour

Phone Services: $95


We do not take insurance or medicare patients (even if self-pay.  However, we do offer super bills for all visits.

Our super bills contain all the information needed by your insurance company, so you can attach our super bill to your insurance claim form and submit it to your carrier.

If you have any problems involving payment, please contact the office PRIOR to your appointment. If you have an outstanding balance and have made no attempt to pay, you will be required to pay the balance in full prior to any further appointment scheduling.



Suicidal thoughts or attempts are not uncommon in psychiatric disorders. There are over 30,000 deaths by suicide in the United States per year. When the brain fails and a person becomes depressed and hopeless, suicide is a danger. We know that suicidal thoughts are signs of relapse of illness. Because of the risk of death, we are legally and ethically obligated to respond to a person who is suicidal. If a patient or relative of a patient contacts us, we will offer hospitalization, as suicidal thoughts are an indication for hospitalization. If a patient's relative or friend phones relating suicidal thoughts by a patient and the patient refuses help, we will:

  1. Contact the police
  2. Contact the County Crisis Center
  3. Refer the friend or relative to the County Crisis Center for initiation of commitment proceedings

* Our Homicidal Policy is the same as suicidal policy, except we are obligated to contact the person who is threatened, and will contact the appropriate agency for a referral.



We do not offer psychiatric hospitalization at the Biological Psychiatry Institute.  However, we can refer our patients to the psychiatric doctor on staff at the hospital of their choice. Treatments during hospitalization consist of aggressive medical stabilization and psychological therapies. The purpose of medical treatment is to correct chemical imbalances in the brain, which are producing symptoms such as depression. The purpose of psychological therapies include:

  1. Getting to know more about yourself in order to deal with the ramifications of your psychiatric illness
  2. Learning how to deal with stress, which can aggravate biological symptoms
  3. Learning how to change bad habits learned or created by biological illness
  4. Understanding how psychiatric illness can affect social and interpersonal interactions and ways to deal with them


All prescription refill requests should be called to your pharmacy. The pharmacy will then contact us for authorization to refill. You should always make sure you have enough medication for the weekend and/or holidays as the office is closed during these times, and the pharmacy will not be able to reach us for authorization. Please allow 3 working days for refill authorization. If it is a controlled substance that must be written, please call our non-urgent phone number and leave your name, date of birth, and a list of medications needed. We will act on requests the next business day. There is a charge of $10 for this service.  You can also email us with your information.



Certain illnesses require the use of medications that are potentially addicting. We try to minimize the potential for addiction by monitoring our patient's consumption of medications. These controlled substances will only be prescribed for one month at a time. If you lose a prescription for a controlled substance, we will okay enough medication until we can make an appointment to see you. You will be counseled on the potential for addiction and abuse. If you lose a prescription a second time, you will be referred to an addiction specialist for a second opinion as to the need for addiction treatment. Although we understand the tremendous benefits from these potentially addicting medications, we want to minimize the potential for addiction by implementing this reasonable monitoring system.


Due to a conflict between Doctor/Patient relationships, Dr. Williams will NOT do disability determinations nor testimony related to civil or criminal matters

Due to rising costs and the amount of time involved in completing & processing, the following is a list of charges, charged to you (our patient's), effective Jan 1,2010.

1. All disability forms $200.00 per half hour
2. All FMLA forms $200.00 per half hour
3. Prior authorizations $25.00 per 15 minutes
4. Email correspondence $15.00 per email
5. Mail prescriptions $10.00 for first and $2.00 each one after
6. Misc. clerical duties $25.00 to $50.00 depending on time spent
